3. What we collect and why
| When you... | What we collect | Why | Our legal reason |
|---|---|---|---|
| Sign up for the newsletter | Your email address, your first name (optional), your two ticks ("Yes, please email me the CuddleCollect newsletter. I can unsubscribe at any time." and "I'm 18 or over."), the page you signed up from, and when you signed up | To send you the CuddleCollect newsletter you asked for, once it starts (see section 4) | Your consent. You can withdraw it at any time |
| Ask for a back-in-stock alert ("Notify me") | Your email address, the toy you chose (name, product code and page), your two ticks ("Yes, please email me if this toy is back in stock at a shop CuddleCollect checks. I can unsubscribe at any time." and "I'm 18 or over."), and when you signed up | To email you if we spot that toy back in stock at a shop we check, including later restocks of the same toy, once alerts start (see section 4) | Your consent. You can withdraw it at any time |
| Use the contact form or email hello@ | Your name (optional), your email address, the reason you pick (general, out of stock, wrong price or other) and your message, plus the page you came from and, if you came from a toy's page, that toy's name and code. If you email us, we get your email address and whatever you write | To read and reply to your message and deal with what you asked | Our legitimate interest in answering messages and running the site |
| Report a problem with a listing | The reason you pick (wrong price, not in stock, wrongly categorised or other), anything you add under "Tell us more", your email address (optional, only if you'd like a reply), and details of the listing and page you reported | To check and fix listings | Our legitimate interest in keeping listings accurate |

The tag photo is only for our check and is never published. | Your permission (consent) for using the photo; our legitimate interest in checking it and contacting you |
| Visit the site | Technical information your browser sends, such as your IP address, which Cloudflare, our hosting provider, handles to deliver the site and keep it secure | To run the site and protect it from abuse | Our legitimate interest in running a working, secure site |
| Visit the site (visitor statistics) | Statistics about visits, collected by Cloudflare Web Analytics without cookies (see section 8) | To count visits and see which pages are used, so we can improve the site | Our legitimate interest in understanding how the site is used. You can object (see section 8) |
You never have to give us your information. If you don't, the only effect is that we can't email you, reply to you or use your photo.
We don't use your information to make automated decisions about you.
4. Emails: what happens now, and what happens next
Back-in-stock alerts. You can sign up for an alert now, but we aren't sending any alert emails yet. Your sign-up is stored by Tally, our form provider, until alerts start.
Before we send any alert, we will:
- update this notice to name the email service that will send alerts. We plan to use Kit, an email service based in the USA, which would handle your email address on our behalf. The updated notice will say where it handles your information and how it's protected; and
- send you an email asking you to confirm. You'll only get alerts if you click the link in that email. If you don't confirm within 7 days, we delete your sign-up.
Once alerts start, they're sent automatically when we spot the toy back in stock. You'll stay signed up for the toy you chose, so you may get another alert if it comes back in stock again later. Every alert will have a link to stop alerts for that toy and a link to unsubscribe from all CuddleCollect emails.
Newsletter. You can sign up for the newsletter now, but nothing is being sent yet, and we haven't chosen a service to send it. Your sign-up is stored by Tally until then. Before any newsletter goes out, we'll update this notice to name the service that sends it and say where it handles your information.
If you change your mind before any emails start, email hello@cuddlecollect.com and we'll delete your sign-up.
5. Photos you send us: what happens now
- Your photo and the photo of the tag are uploaded through our form provider, Tally, and kept in our private Tally account. They aren't public: the files can only be opened by someone logged in to our Tally account.
- We review every photo by hand before we decide whether to use it. Nothing is published automatically, and we can't promise that any photo will be used.
- The tag photo is only used to match your photo to the right toy. It's never published.
- At the moment we aren't showing visitors' photos on the website. If we use your photo, it will only be in the ways your permission on the form allows (the CuddleCollect website and its social media, including Instagram), and we'll message you, using the email address you gave, if your photo goes live. We'll only credit you by name or handle if you ticked "Credit me by the name or handle above."
- Photo files can carry hidden details, such as where a photo was taken. If you'd rather not share these, please remove them before you send the photo.
- To ask us to remove your photo, email hello@cuddlecollect.com (see section 7 for timings).
6. Who helps us (our service providers)
We use a small number of service providers to run CuddleCollect.
| Provider | What they do for us | Where |
|---|---|---|
| Tally (Tally BV, Belgium) | Runs all six of our forms (newsletter, back-in-stock alerts, contact, report a problem, "Seen it elsewhere" and photo submissions) and stores what you send through them, including photos. Tally handles this on our behalf, as our processor | Tally says form data is stored in Europe, including uploaded files. Tally uses some sub-processors, a few of them outside Europe, and says transfers outside Europe happen only by exception, under standard contractual clauses or other approved mechanisms |
| Cloudflare | Hosts the website (Cloudflare Pages), forwards emails sent to hello@cuddlecollect.com to our inbox (Cloudflare Email Routing), and provides our visitor statistics (Cloudflare Web Analytics). Cloudflare handles this on our behalf, as our processor | Cloudflare says it mainly stores information in the USA and the European Economic Area, and may access it from around the world. For transfers from the UK to the USA, Cloudflare says it relies on the UK Extension to the EU-U.S. Data Privacy Framework, with standard contractual clauses (with the UK Addendum) as a fallback |
| Google (Gmail) | Our email inbox: emails to hello@ and form notifications arrive there. Google provides Gmail under its own terms and privacy policy; for UK users, the Google company responsible is Google LLC, in the USA | Google says information may be processed on servers outside the UK, and that it relies on UK adequacy regulations, the UK Extension to the EU-U.S. Data Privacy Framework and, where required, standard contractual clauses |
Cloudflare Email Routing: Cloudflare says it doesn't store or access the content of emails it forwards. It keeps a short activity log of the emails it routes, for example whether each one was forwarded or rejected.
Fonts: the fonts on our pages are served from our own website, so no font requests go to Google when you use CuddleCollect.
We may also share information if the law requires it.
7. How long we keep it
| Information | How long |
|---|---|
| Back-in-stock sign-ups collected before alerts start | Kept until alerts start and we send the "please confirm" email |
| Back-in-stock sign-ups that aren't confirmed (once alerts start) | Deleted after 7 days |
| Back-in-stock alert for a toy | 12 months from sign-up or from the last alert for that toy, whichever is later, unless you stop it sooner |
| Back-in-stock entries held in Tally | Deleted by hand each month once they've been moved to the email service that sends alerts |
| Newsletter sign-ups | Kept until the newsletter starts, then for as long as you stay subscribed. If we see no activity from you for 24 months, we'll ask once whether you still want it, and delete your details if you don't reply |
| A record of your consent (what you ticked, when, and which version of the form) | For as long as we rely on your consent, and afterwards only for as long as we need it to show what you agreed to |
| "Do not email" list after you unsubscribe | Kept while we send emails, so we don't email you again by mistake |
| Messages, reports and tips you send us (contact form, report a problem, "Seen it elsewhere", and emails to hello@) | 12 months after the matter is closed |
| Photos we don't use | Deleted within 7 days of our decision |
| Photos we use | Until you ask us to remove them. We'll hide a photo within 48 hours of your request and delete it within 7 days |
| Tag photos | Only used to match your photo to the right toy, and deleted with the photo they came with |
| Visitor statistics (Cloudflare Web Analytics) | Cloudflare keeps the detailed data for about 7 days, then keeps only a reduced summary. We can see the statistics for up to 6 months |
| Technical information handled by Cloudflare, which hosts our site | Cloudflare keeps technical request logs for a limited period |
| Your wishlist | We never have it. It stays in your browser until you clear it (see section 8) |
When we delete form entries in Tally, Tally says they're fully removed from its systems, including its backups, within 90 days.
8. Cookies, local storage and similar technology
- We don't use cookies for advertising, tracking or visitor statistics, and we don't show a cookie banner.
- Visitor statistics (Cloudflare Web Analytics). We use Cloudflare Web Analytics to see how the site is used, so we can improve it. Cloudflare adds a small script to our pages that measures each visit. We see totals such as visits and page views, which pages are viewed, the site you came from, your country, your type of device (desktop, mobile or tablet), your browser and operating system, and how quickly pages load. Cloudflare says Web Analytics doesn't use cookies or local storage, doesn't fingerprint visitors, doesn't record the part of a web address after the "?", and doesn't collect or use visitors' personal data. Like any request to our site, the measurement passes through Cloudflare's network. We've set it to exclude visitor data in the EU, so the script isn't added to our pages for visitors from the EU.
- If you'd rather not be counted: you can object at any time, free. Email hello@cuddlecollect.com, or use a content blocker or your browser's tracking protection to stop the statistics script from running. The site works the same without it.
- Wishlist. If you use "Save to wishlist", the product code of each toy you save is stored in your own browser, on that device only, using your browser's local storage. Nothing is sent to us or to any other company, there's no account, and we don't use it to track you. Your wishlist page (/wishlist/) reads the list in your browser and shows each saved toy's name with a link to its page. To remove a toy, press "Remove" on your wishlist page, or press "Saved to wishlist" again on the toy's page. To clear the whole wishlist, clear this site's data in your browser settings. Clearing your browser data (cookies and site data) deletes your wishlist, and we can't get it back for you, because we never had it. A wishlist saved on one device or browser doesn't appear on another.
- Forms. Our forms are run by Tally and load inside a frame from Tally's own website. Tally says it doesn't use cookie tracking, and we haven't switched on any of Tally's optional tracking features. While you fill in a form, Tally may keep your answers in progress in your browser so you don't lose them; this belongs to Tally's form, not to our pages.
9. Your rights
Under UK data protection law you have the right to:
- ask for a copy of the personal information we hold about you;
- ask us to correct it;
- ask us to delete it;
- ask us to restrict how we use it;
- ask for your information in a portable format;
- object to us using your information where we rely on our legitimate interests (including visitor statistics, see section 8), and ask us to stop sending you emails at any time; and
- withdraw your consent at any time, including your permission for us to use your photo. This doesn't affect anything we did before you withdrew it.
Once emails start, the easiest way to stop them is the unsubscribe link in any email. For everything else, email hello@cuddlecollect.com or use our contact form at /contact/. We'll reply within one month. We may need to check it's really you first, for example by replying to the email address you signed up with.
We can't find your wishlist for you, because it's only in your browser. You can delete it yourself at any time (see section 8).
10. Children
CuddleCollect's email sign-ups and photo submissions are only for people aged 18 or over, and we ask you to confirm this with a tick. Parents are welcome to sign up for themselves. If we find out that someone under 18 has given us their details through one of these forms, we'll delete them.
11. Complaints
If you're unhappy with how we've handled your information, please tell us first at hello@cuddlecollect.com or through our contact form at /contact/. We'll acknowledge your complaint within 30 days and tell you what we've done about it.
You can also complain to the Information Commissioner's Office (ICO), the UK's data protection regulator:
- online: ico.org.uk/make-a-complaint
- helpline: 0303 123 1113
12. Changes to this notice
We'll update this notice when things change, and change the date at the top. In particular, we'll update it before any back-in-stock alert or newsletter is sent, to name the email service we use. If we want to use your information for something new, we'll tell you first and, where we need it, ask for your consent.
